01 · What it is

What is fleet management software?

Fleet management software is where you see and control your vehicles — live location, trip history, alerts, and reports, all in one place. The Tracking Co builds the platform into every subscription. You buy the hardware once, activate tracking from R50 per vehicle per month, and get the full system on web and mobile. It is telematics and fleet tracking in a single tool — not two.

Everything in one place

Live map, trips, driver behaviour alerts, and reports on one dashboard. No switching between tools, no exporting between systems.

Included, not licensed

The software ships with every subscription. No separate licence, no per-seat fee, no enterprise tier to unlock the useful parts.

Web and mobile

Full access on the web platform and the iOS and Android apps. Your team logs in from the office, the depot, or the road.

Built in South Africa

Hosted on dedicated South African infrastructure and supported by a real team on WhatsApp and phone, 8am–5pm.

02 · Included in every plan

Which features are included in the fleet software?

All of them. Each subscription unlocks the full software platform — no tiers, no paywalls. The only thing that changes is the hardware you choose.

Live GPS tracking (web + mobile)
Full trip history & reports
Custom geofencing & zone alerts
Driver behaviour alerts (FMC920/880)
Speed, after-hours & tamper alerts
Service reminders (odometer-based)
SARS-compliant logbooks
Sub-accounts & user permissions
Unlimited alerts (WhatsApp, email, push)
API access for integrations
Multi-vehicle fleet dashboard

Driver behaviour alerts run on the motion sensor in the FMC920 and FMC880 — the device must be configured and calibrated to collect driver behaviour. Every other feature works on any TTC device.

Optional add-on: stolen vehicle recovery at R44 per vehicle per month, for 24/7 monitored response.

03 · Core fleet features

How do geofencing and alerts work for a fleet?

Draw a zone, choose who gets told, and the platform alerts you the moment a vehicle enters or leaves it. Zones can cover sites, depots, customer locations or no-go areas. Layer on speed, after-hours, and tamper alerts so you hear about what matters without watching a screen.

Geofencing & zone alerts

Draw unlimited zones on the map. Get entry and exit alerts for sites, depots, no-go areas, or customer addresses — useful for arrival times, after-hours movement, and route adherence.

How geofencing works →

Custom alerts

Speed, after-hours, ignition, and tamper alerts, delivered by WhatsApp, email, or push. Set the thresholds that matter to your fleet and let the platform watch for you.

04 · Maintenance

How do odometer-based service reminders work?

The platform builds a virtual odometer from each vehicle’s GPS trips. Set a service interval — say every 10,000 km — and the system counts the distance for you. When a vehicle is due, you get a notification automatically. No spreadsheets, no manual mileage logging, no missed services.

Set different intervals per vehicle or per group. Reminders reach the right people through the channels you already use — WhatsApp, email, or push. Keeping a fleet serviced on time protects resale value and cuts breakdowns.

Virtual odometer

Distance counted from GPS trips. No odometer wiring and no manual readings needed.

Per-vehicle intervals

Set service points by vehicle or group. Different cycles for vans, bakkies, and trucks.

Automatic alerts

Get notified the moment a vehicle hits its interval. Nothing slips through the cracks.

05 · No tiers

Does the fleet software have feature tiers?

No — there is one subscription and it includes everything. Most fleet software splits features across tiers. Basic tracking on the cheapest plan, geofencing a step up, reports and API behind the enterprise tier. The price climbs as you actually use the tool.

The Tracking Co does not work that way. There is one subscription and it includes everything — from your first vehicle to your hundredth. You also own the hardware, so there is no bundled device rental inflating the monthly fee. What you pay is what you see: R50 per vehicle per month.

06 · Buyer's guide

How do you choose fleet management software?

Start with the job you need done, then check total cost, phone access, hardware ownership and contract length. The checks below cover it, whether you are looking at The Tracking Co or anyone else.

01

Start with your goal

Name your real bottleneck first — recovery, fuel, driver safety, or SARS logbooks. Buy for that, not for a long feature list you will never open.

02

Features without the bloat

Check the features you need are included, not dangled behind a higher tier. Paying to unlock geofencing or reports later adds up fast.

03

Mobile, integrations & hardware

Make sure it works on your drivers’ phones and connects to your own systems. An open API and your own hardware keep you flexible and cut bundled costs.

04

Count the true cost

Look past the monthly fee. Setup charges, tier upgrades, and 24- to 36-month contracts are where the real cost hides. Month-to-month keeps you in control.

05

Test before you commit

Try the platform on a few real vehicles before signing anything. The Tracking Co sets up a live demo on real data, usually within one business day.

07 · Build on it

Can the fleet software integrate with our other systems?

Yes. Every subscription includes API access at no extra cost. Pull live locations, trips, geofence events, and device status straight into your own systems — dispatch software, a logistics platform, a custom dashboard, or your ERP.

Need more than the standard integration? Our team builds custom integrations, bespoke reporting, and full whitelabel platforms at R750 per hour. The subscription stays the same — you only pay for the development you ask for.

API in every plan

REST endpoints and webhooks for live data. No enterprise tier, no extra fee.

Whitelabel available

Run the full platform under your own brand — you supply the branding and domain, we provide the software. Quoted per partner.

09 · Common questions

Fleet software questions, answered.

What is fleet management software?

Fleet management software is the platform you use to run a fleet — live location, trip history, alerts, and reports, all in one place. With The Tracking Co, the software is included in every subscription from R50 per vehicle per month. There are no feature tiers and no separate software licence. You buy the hardware once, activate a subscription, and get the full platform on web and mobile.

How do I choose fleet management software?

Start with your real goal — recovery, fuel, driver safety, or SARS logbooks — not a long feature list. Pick a platform that includes the features you need without forcing a higher tier, works on your drivers’ phones, and lets you keep your own hardware. Check the total cost, including setup fees, tier jumps, and contract length. Then test it on real vehicles first. The Tracking Co includes every feature at one price and offers a live demo on real data.

Is the fleet software included or an extra cost?

Included. Every The Tracking Co subscription comes with the full platform at no extra charge — R50 per vehicle per month covers all of it. There is no separate software fee, no per-feature pricing, and no enterprise tier to unlock. Geofencing, reports, service reminders, and API access are all part of the standard subscription. Driver behaviour alerts are available on the FMC920 and FMC880 devices.

Does The Tracking Co charge per feature?

No. There are no feature tiers and no paywalls. Every subscription unlocks the entire platform from day one — the same features whether you track one vehicle or a hundred. You never pay extra to add geofencing, reports, alerts, or API access. The only optional add-on is stolen vehicle recovery at R44 per vehicle per month, for fleets that want 24/7 monitored response.

Can I access the platform on mobile?

Yes. The platform runs on the web and on iOS and Android apps. Your drivers, dispatchers, and managers can each have their own login with the permissions you set. You get live tracking, trip history, and alerts on any device, wherever you are. The mobile apps are included — there is no separate app fee.

Is this telematics or fleet management software?

Both — it is one platform. Telematics is the vehicle data: location, speed, trips, and driver behaviour. Fleet management software is how you turn that data into action: geofences, alerts, reports, service reminders, and sub-accounts. The Tracking Co combines them, so you do not run two systems or pay two providers.

How much does fleet management software cost in South Africa?

With The Tracking Co it is R50 per vehicle per month, with every feature included. Hardware is a once-off purchase you own — from R499 for the plug-in OBD Mini, or R769 for the hardwired 4G900L. There is no contract, no setup fee, and no charge to add features. Annual billing brings the subscription down to R45 per vehicle per month.

Does fleet management software require a contract?

Not with The Tracking Co. Subscriptions are month-to-month and you can cancel anytime, with no penalties or early-termination fees. You own the hardware, so nothing ties you to us except the platform working well. Traditional providers use long contracts to recover rented hardware — The Tracking Co sells the hardware outright, so the lock-in is not needed.

Does the software work for a small fleet of five vehicles?

Yes. The Tracking Co platform runs the same for five vehicles as for a hundred, with every feature included. Five bakkies fitted with the 4G900L cost R3,845 in hardware once-off and R250 a month in subscriptions. There is no minimum fleet size, no setup fee and no contract, so a small business can start with one vehicle and add the rest as it goes.

Can I run the fleet software without a control room?

Yes. The standard The Tracking Co subscription is a self-monitored service: your team watches the fleet on the web platform and mobile app, and every alert comes straight to you. There is no control room in the loop unless you add stolen vehicle recovery at R44 per vehicle per month. Most fleets with their own operations team run tracking-only and add SVR to the vehicles that need it.
